Privacy Policy

Quotala(“we,” “us,” or “our”) operates a quote-to-booking platform that allows service businesses to send branded quotes to leads, collect approvals, and follow up by email. This Privacy Policy explains what information we collect, how we use it, the choices you have, and how to reach us.

1. Information We Collect

We collect information you give us directly when you sign up for Quotala, build a quote, share a quote with a lead, or contact us for support. This may include:

  • Account information— your name, email address, business name, trade, and password.
  • Quote and lead information— details you enter about a job (description, price, scope), plus your lead’s name, email address, and (optionally) mobile phone number if they choose to receive quote notifications by SMS.
  • Communications metadata— delivery status, timestamps, and the content of SMS and email messages sent through our platform, retained to confirm delivery and prevent abuse.
  • Billing information— handled by our payment processor (Stripe). We do not store full payment-card numbers on our servers.

We also collect basic technical information automatically, such as IP address, browser type, device type, and pages visited, to keep the service secure and improve it.

2. How We Use Your Information

We use the information we collect to:

  • Create and maintain your Quotala account.
  • Deliver quotes and follow-up notifications to your leads (by email, and—once SMS features are enabled—by text message).
  • Provide customer support, respond to inquiries, and notify you about changes to our service.
  • Process billing, prevent fraud, and enforce our Terms & Conditions.
  • Improve our products through aggregate, de-identified analytics.

We do not use your leads’ contact information for our own marketing, and we do not send marketing SMS messages on anyone’s behalf.

3. SMS Communications

No sharing or selling: Mobile phone numbers will not be shared with or sold to third parties for marketing purposes, nor will they be shared with any third party except as necessary to deliver the SMS messages you have explicitly opted in to receive.

When a lead provides a mobile phone number and consents to receive SMS notifications from Quotala, we use that number only to send messages directly related to their active quote — the original quote delivery, any updates you send, appointment confirmations, and short follow-ups tied to that specific job. We do not send bulk promotional SMS, and we do not share mobile numbers with affiliates, marketing partners, or other third parties.

Message frequency:Message frequency varies by activity. For an active quote a lead can expect approximately 1–4 messages per month (the quote itself, optional appointment confirmation, and any short follow-ups you send). Leads may receive additional messages if they initiate a new conversation or request more information.

Message and data rates may apply. SMS messages are delivered through US carriers using standard toll-free or long-code numbers. Your carrier may charge for messages sent and received; check your carrier plan for details.

Opt out at any time. A lead can stop receiving SMS from Quotala at any time by replying STOP, CANCEL, END, QUIT, or UNSUBSCRIBE to any message we send. To get help, reply HELP or INFO— we will respond with our contact information. Message frequency varies as described above.

SMS features are currently contingent on carrier (A2P 10DLC) registration approval. Until that registration is approved, Quotala delivers quotes by email only.

4. How We Share Information

We do not sell, rent, or trade your information — or your leads’ information — to third parties. We share information only with the limited set of vendors that help us operate the service, and only the minimum needed for them to perform the function:

  • Email delivery— our transactional email provider (delivers quote and follow-up emails on your behalf).
  • SMS delivery— once enabled, our SMS aggregator and underlying carriers (delivers text messages you have explicitly requested).
  • Payments— Stripe, which processes subscription billing.
  • Hosting and infrastructure— cloud providers that store and serve our application data.

We may also disclose information when required by law, to protect our legal rights, or to prevent harm — and only the minimum necessary to do so. In the event of a merger or acquisition, your information may be transferred to the acquiring entity under equivalent privacy protections.

5. Cookies and Local Storage

We use a small number of first-party cookies and browser-local storage to keep you signed in and to remember your preferences. We do not use third-party advertising cookies, and we do not place tracking pixels from ad networks on our pages.

6. Data Security

We encrypt data in transit (HTTPS) and at rest, restrict access to production data to the small team that operates the service, and require strong, unique passwords for accounts. No system is perfectly secure, but we work continuously to protect your information and notify affected users promptly if a breach occurs.

7. Data Retention

We keep your account information for as long as your account is active. When you delete your account, we delete or de-identify personal information within 30 days, except where we are required to retain it for legal, tax, or audit purposes (for example, billing records). Lead-level message logs may be retained longer in de-identified form for abuse-prevention and analytics.

8. Your Rights and Choices

You can review and update your account information at any time from your settings. You can request export or deletion of your personal information by emailing us at the address below. If you are a lead who received a quote from a Quotala user, you can opt out of further messages by replying STOPto any SMS, or by using the unsubscribe link in any email we sent on the user’s behalf.

9. Children’s Privacy

Quotala is a business tool and is not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date at the top of this page. For material changes, we will also notify active users by email.
